Vendor Rules &
Terms of Participation

Application and approval
Submitting an application does not guarantee acceptance, a particular date, a particular location, or future participation. Approval remains at the Chamber’s discretion.
Booking and payment
A space is not confirmed until the application is approved, availability is confirmed, and payment is received.
Placement
Full-season vendors may generally receive a regular location, but no location is permanently guaranteed. Placement depends on layout, vendor mix, safety, power, accessibility, and operational requirements.
Vehicles
Vehicles are permitted only when specifically approved, fit fully within the assigned space, and do not interfere with neighbouring vendors or market operations. Vehicle access is a privilege and can be withdrawn.
Products
Vendors may sell only the products approved through their application. The Chamber may limit duplicate products or decline products that do not suit the market.
Food and certifications
Food vendors must obtain and provide any required Island Health approvals, FoodSafe certificates, permits, and related documents. Organic claims must be supported by valid certification.
Setup, takedown, and safety
This includes arrival times, tent weights, shelter, cleanliness, vehicle movement, garbage removal, and remaining open until the market closes.
Attendance and cancellations
Vendors must notify the Chamber when unable to attend. Repeated no-shows may result in probation, loss of placement, or removal from future markets.
Respectful conduct
Vendors must communicate respectfully with staff, volunteers, other vendors, and the public. Aggressive, abusive, threatening, or repeatedly argumentative behaviour can result in removal.
Enforcement
The Chamber may issue instructions, warnings, remove a vendor, reassign a space, revoke vehicle permission, or decline future applications. Serious incidents may result in immediate removal.
Refunds
Explain when fees are refundable, non-refundable, or considered case by case. Your older rules already address cancellations, misconduct, and removal.
Liability
Vendors are responsible for their products, displays, equipment, business practices, permits, and insurance. Your existing rules also contain an indemnity provision protecting the Chamber, its directors, employees, and agents.
