2026 Sip & Shop Vendor
Rules & Terms of
Participation

 Sip & Shop is an event of the Chemainus Business Improvement Association (CBIA). 

​

The Chemainus + District Chamber of Commerce administers the vendor market component, including vendor applications, booth payments, vendor communications and vendor placement.

​

The CBIA is responsible for the overall event, including event infrastructure, marketing and branding, permits, insurance and liability coverage, liquor licensing and overall event execution.

​

These rules apply to vendors registered through the Chemainus + District Chamber of Commerce.

​

Vendor Acceptance & Placement

Submitting an application does not guarantee acceptance into Sip & Shop.

Vendor participation is confirmed once the application has been approved and the applicable vendor fee has been paid.

Vendor locations within the market area are assigned by the Chamber. Specific locations may be requested but cannot be guaranteed.

Vendors must remain within their assigned space and follow any setup, access, parking and teardown instructions provided before the event.

​

Vendor Setup & Responsibility

Vendors are responsible for providing and safely securing their own tents, tables, displays, equipment and other items required for their setup unless otherwise arranged.

Any electrical requirements, generators, trailers, unusual equipment or special site requirements must be disclosed in advance.

​

Vendors are solely responsible for their own products, equipment, merchandise, possessions and business practices. This carries forward the core vendor-responsibility language used for the 2025 Sip & Shop.

​

Vendor displays and conduct must be appropriate for a public, family-friendly community event.

​

Food Vendors

Food vendors are responsible for meeting all applicable Island Health and food-safety requirements.

Where applicable, vendors must obtain and provide required approvals, permits or FOODSAFE documentation.

Approval to participate in Sip & Shop does not replace any approval required by Island Health or another regulatory authority.

​

Food trucks are being coordinated separately and are not accepted through the Chamber's vendor application.

Alcoholic Beverage Vendors

The CBIA manages event-level liquor licensing and related compliance for Sip & Shop.

​

Individual liquor vendors remain responsible for meeting requirements applicable to their own business and for providing any licensing, market authorization or Serving It Right documentation requested as part of the vendor registration process.

Liquor vendors must follow any additional instructions provided by the CBIA regarding sampling, sales or event liquor requirements.

​

Event Operations

Vendors must follow reasonable instructions provided by the CBIA, Chamber and authorized event representatives.

The CBIA oversees the overall event and may make changes to event operations, infrastructure or layout as required. The Chamber may adjust vendor placement within the market area where necessary.

​

Vendors are responsible for preparing their booth and products for outdoor seasonal conditions.

​

Cancellations & Refunds

Vendor cancellations must be provided in writing to the Chemainus + District Chamber of Commerce.

Refund requests will normally only be considered when cancellation notice is received at least 10 calendar days before the event.

​

Cancellations received with less than 10 calendar days' notice are generally non-refundable.

All refunds and credits are at the discretion of the Chemainus + District Chamber of Commerce, with exceptions determined by the Executive Director.

​

No refund will normally be provided to a vendor who does not attend or who is removed for failure to comply with these rules or applicable participation requirements.

Non-Compliance

Vendors who fail to comply with these rules, applicable regulatory requirements or reasonable instructions from event organizers may be required to correct the issue or may be removed from the event.

Removal for non-compliance may occur without reimbursement of vendor fees, consistent with the approach used in the 2025 Sip & Shop application.

Vendor Agreement

By submitting an application and participating in Sip & Shop, the vendor confirms that:

  • the information provided in their application is accurate;

  • they have read and agree to these Vendor Rules & Terms;

  • they are responsible for meeting requirements applicable to their own products and activities; and

  • they will follow reasonable instructions from the CBIA, Chamber and authorized event representatives.
